How to welcome campsite guests after reception has closed

It is 9.30 pm. Reception has closed, but a motorhome pulls into the campsite. The guest needs to know whether there is availability, where to park and how to pay.

With a Campio self-service booking and payment terminal, drop-in guests can choose their stay, enter their details and pay by card on arrival. The booking is recorded in Campio, giving you an overview without having to be at reception.

From arrival to a completed booking

The process should be easy to understand, even for a first-time visitor.

  1. Choose a pitch and stay. Guests view available options on a map or list. With a booking map, they can select their preferred pitch visually.
  2. Enter guest details. They enter their name, email address and any optional extras on screen.
  3. Pay by card. Guests pay using the integrated card terminal and receive a receipt by email.

The terminal supports ten languages, helping international guests follow instructions they understand.

What your campsite should prepare

A smooth late arrival starts with clear information and the right setup:

  • Availability and prices: Keep pitches, seasons, prices and extras up to date in Campio Admin. Block pitches that should not be sold.
  • A visible terminal: Position it where guests can find it, with readable signs and lighting.
  • Practical information: Explain where to park, where facilities are located and the rules for late arrival and quiet hours.
  • Power and connectivity: Choose a suitable indoor or outdoor model. The terminal needs power and WiFi or 4G connectivity.
  • Help when needed: Explain how to get assistance if booking, payment or entry fails. Agree on a procedure for power or network outages.

What if the campsite has a barrier?

Booking, payment and entry can form one guest journey. Campio can integrate with barrier systems so you can welcome guests with self-service entry even when reception is closed.

We help you agree the integration and the right setup for your barrier. Plan clear arrival instructions for both walk-in guests and guests with advance bookings, and test the full journey before launch.

Terminal or QR code?

A terminal provides a visible screen and on-site card payment. A QR code lets guests open booking and payment on their own phone. Choose based on your guests, location and operation.

In either case, the next step must be clear. Guests who have already booked should receive separate arrival instructions so they do not book or pay for the same stay again.

Better oversight when reception reopens

Campio Admin brings terminal bookings together with other reservations. You can monitor bookings and availability and focus on follow-up and running the site. Self-service can reduce manual handling and simplify late arrival, while some guests will still need help.
